Palma Cruises Case Study

One system to run three boats and their crews.

“Jordi has managed to understand our business logic in record time, and thanks to this, has translated it into custom software that I think is essential for any company in the sector.”
Hugo Ramón — CEO, Palma Cruises

Palma Cruises runs tourist excursion boats in Palma de Mallorca. For the 2026 season they wanted a system of their own, shaped around the way they work. We gave it that shape piece by piece, and this is the result.

What’s in it
  • Crew rosters
  • Time tracking
  • Payslips and commissions
  • Maintenance
  • Inventory
  • Boat documents
  • Crew mobile app

Before and after

  • Without a system

Rosters worked out by hand every week, across three boats and everyone's availability

    Palma Cruises

Generated automatically, then adjusted only where needed

  • Without a system

Hours and bar commissions added up per person, every month

    Palma Cruises

Calculated from clock-ins and sales, and the payslip follows

  • Without a system

Walking the boat to see what is running low

    Palma Cruises

Stock tracked per location, flagged before it runs out

  • Without a system

Harbourmaster and port paperwork wherever it was last needed

    Palma Cruises

Every boat's papers in one place, with alerts before they expire

  • Without a system

Remembering when each boat is due for oil changes or services

    Palma Cruises

Every service scheduled per boat, so nobody has to remember

These are some of the modules that made the biggest difference to Hugo and his crew. The screenshots and recordings below are from the live system. Crew names and figures have been replaced with sample data.

The roster

A boat doesn’t leave without a qualified captain aboard. Every week, every departure on every boat needs its minimum crew, correctly qualified, fitted around hours that shift with people’s lives.

“The program does the magic and automatically generates schedules that save us hours and hours of trying to fit everything in.”

Planned vs worked

The roster says how long each departure should take; reality rarely agrees.

Having both numbers side by side gives everyone a better handle on their own hours. Extra hours get paid as extra hours, the month’s commissions are split by what was actually worked, and next week’s roster is built on data rather than by eye.

“Having a record of what each person works… and having it come out on the payslip automatically — well, the app does that for us too.”

Stock and certificates

A boat sails with what it has aboard. Run out of something mid-excursion and there is nowhere to restock; sail a certificate short and it doesn’t leave at all.

Palma Cruises had no warehouse, so we made each boat into one: every boat carries its own inventory, and above them the system totals each product across all three. That means each boat can be run on its own, and when the combined stock drops below its minimum, the system flags that it’s time to order.

Certificates get their own module: it tracks everything each boat needs in order to sail, and warns when something is coming up for renewal.

Stock levels by product with reorder status
Stock across every location, with each product marked OK, restock or order. The system flags what needs attention.

The crew app

The crew carry the same system in their pockets. They start and end their shift, work through the maintenance due on their boat, count stock during scheduled checks, and keep their own certificates and documents up to date.

“The app is becoming a workspace both for the worker and for me, as I have full control of everything that's happening on the boat, even without being on board.”

The numbers

Figures from the live system, August 2026.

8,890
hours clocked by the crew
1,669
stock movements on three boats
688
shifts planned in 13 rosters
156
documents with expiry tracking
and more

“I realized I needed to use software that would automate a lot of tasks where I was wasting a lot of time.”
